We know the photo you share with us is precious. This page explains, in plain English, what we keep, why, and for how long. MyOldFriend is the data controller under UK GDPR.

What we collect

• The photo you upload, your companion’s name and any dedication you write.
• The portraits we create from your photo.
• When you order: your name, email address and delivery address. Payment is handled by Stripe; we never see your card details.

When you upload a photo, we remove its hidden information (such as the location where it was taken) before storing it.

Why we use it

Only to create, print and deliver your portrait, and to write to you about your order. We use it because it is needed to fulfil the order you asked for. We never sell your information or use it for marketing without asking.

How long we keep it

• If you do not place an order, your photo and portraits are deleted after 7 days.
• If you do, your photo and portraits are deleted 60 days after your portrait is delivered.
• We keep basic order records (what was ordered, when, and the amount paid) for as long as UK tax law requires.

Who helps us

We share only what each needs to do their part:

• Google (Gemini), to create the portrait from your photo.
• Railway, which hosts this website and stores files securely in the EU.
• Stripe, to take payment and collect your delivery address.
• Our print partner, to print and post your portrait.
• Resend, to send you emails about your order.

Your rights

You can ask to see the information we hold about you, have it corrected, or have it deleted sooner. Write to us at hello@myoldfriend.co and we will reply within a month. If you are unhappy with how we have handled your information, you can contact the Information Commissioner’s Office at ico.org.uk.
